01 / Who we are
Medicachoice (referred to as “we”, “us”, or “our”) is a division of Optomac Ltd, a UK-based medical equipment distributor headquartered in Altrincham, Greater Manchester. Optomac Ltd is the data controller for personal data submitted to this website.
02 / Data we collect
When you submit a Request for Quotation (RFQ), we collect the information you provide in the form: full name, job title, organisation, country of operation, work email, optional phone number, requirement description, optional budget range and timeframe, documentation preferences, and any attached specification document. We do not run third-party analytics, advertising trackers, or behavioural profiling on the site.
03 / Lawful basis
We process this information under the lawful basis of legitimate interest: responding to a business-to-business procurement enquiry initiated by you. Where you submit personal data of colleagues (e.g. listing a teammate as the contact), you confirm that you have the authority to share that information for this purpose.
04 / How we use it
Submitted data is used to: (a) review the procurement scope and prepare a response; (b) communicate with you about your enquiry and any resulting order; (c) maintain a procurement audit record consistent with UK trade-compliance standards; (d) where you proceed to order, share necessary detail with manufacturer partners, independent pre-shipment inspection agencies, trade-finance providers, and freight forwarders strictly as needed to fulfil the order.
05 / Retention
Submitted RFQs and any resulting procurement records are retained for a period consistent with UK trade and tax record requirements (typically seven years), after which the records are deleted or anonymised. Enquiries that do not result in an order are reviewed for deletion within two years of the last contact.
06 / Your rights
Under UK GDPR you have the right to request access to your personal data, to ask for inaccurate data to be corrected, to request erasure subject to record-keeping obligations, to object to processing, and to request portability of data you have provided. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).

08 / Security
Submissions are transmitted over HTTPS. Access to procurement records is restricted to authorised personnel. Where uploaded attachments are retained, they are stored in access-controlled storage with audit logging.
